Refund Policy
  1. Introduction

This Refund Policy applies to all safari tours and accommodation bookings made through Tropical Odyssey, unless otherwise specified in the booking confirmation.

  1. General Policy

All safari tours and accommodation bookings are subject to the cancellation and refund terms stated below. Some bookings may also be subject to additional supplier terms depending on the hotel, camp, or tour operator.

  1. Safari Tours and Accommodation

Safari experiences and accommodation bookings require advance arrangements, including accommodation, transport, park fees, and guided services. As a result, these bookings may be partially refundable or non-refundable depending on the timing of cancellation.

  1. Customer Cancellations

If a customer cancels a booking, any applicable refund will be processed according to the cancellation terms outlined below.

  1. Cancellation Timeframe Requirement

All cancellation requests must be submitted in writing.

Cancellations will be processed as follows:

  • More than 30 days before the scheduled arrival or travel date: Full refund.
  • 10 to 30 days before the scheduled arrival or travel date: 50% refund.
  • Less than 10 days before the scheduled arrival or travel date: Non-refundable due to operational commitments.
  • No-shows and early departures: Non-refundable.
  1. Processing Time

Approved refunds will be processed within 7–14 business days after confirmation.

  1. Non-Refundable Items

The following are non-refundable:

  • Service and booking fees.
  • Promotional or discounted packages.
  • Last-minute bookings.
  • No-shows and early departures.
  • Cancellations made less than 10 days before arrival.
  1. Supplier Cancellations

If a booking is cancelled by the hotel, camp, or safari operator, the customer will receive a full refund or an alternative arrangement, subject to availability.


Cancellation Policy

Customers may request cancellation of a booking at any time by contacting us via email or official support channels. Cancellation terms are governed by the policy below.

  1. Cancellation Charges

Cancellation charges apply as follows:

  • More than 30 days before arrival or travel date: No cancellation fee.
  • 10 to 30 days before arrival or travel date: 30% cancellation fee.
  • Less than 10 days before arrival or travel date: 100% cancellation fee.
  1. Non-Refundable Bookings

Certain promotional offers, discounted rates, and special packages are strictly non-refundable once confirmed.

  1. Cancellation Requests

All cancellation requests must include a valid booking reference number and must be submitted in writing.

  1. Refund Eligibility

Where a booking qualifies for a refund, the refund will be processed after deduction of any applicable cancellation fees and non-refundable charges.

Payment Policy

Booking Confirmation
A booking is only confirmed once payment has been successfully received and verified.

Accepted Payment Methods
We accept card payments, bank transfers, and other payment methods made available at the time of booking.

Deposit Requirements
Depending on the booking type and season, a deposit or full payment may be required:

Standard bookings: 30%–50% deposit required to confirm booking.
Peak season bookings: Up to 100% prepayment may be required.

Balance Payments
Where a deposit is paid, the remaining balance must be paid before arrival, when arrive or as stated in the booking confirmation. Failure to pay may result in cancellation without refund.

Currency and Charges
All payments are charged in the currency stated at the time of booking. Bank charges and exchange rate differences are the responsibility of the customer.

Failed Payments
If a payment fails or is declined, the booking will not be confirmed or may be cancelled.

Security
All payments are processed through secure third-party payment providers. We do not store full card details on our systems.

Refunds
All refunds, where applicable, will be processed in accordance with this Refund Policy and returned to the original payment method within 7–14 business days.
