Terms & Conditions

These Terms and Conditions apply to all accommodation bookings, safari tours, excursions, airport transfers, and other travel services arranged by Tropical Odyssey. By making a booking, you confirm that you have read, understood, and agreed to these Terms and Conditions.

Booking Confirmation

A booking is confirmed only after the required payment has been received and the reservation has been confirmed by Tropical Odyssey in writing.

All accommodation, safari, tour, and transfer services are subject to availability until confirmation has been issued.

Payment

A deposit of 30%–50% is generally required to confirm a booking. Certain accommodation providers, peak-season dates, festive periods, or special packages may require full payment in advance.

Any remaining balance must be paid according to the payment deadline stated in the booking confirmation.

Payments may be made through secure online card payments, bank transfers, or other payment methods made available by Tropical Odyssey.

Any bank charges, transaction fees, or currency-conversion costs are the responsibility of the customer.

Accommodation

Check-in and check-out times are determined by the individual accommodation provider. Standard check-in is generally from 2:00 PM, while check-out is normally between 10:00 AM and 11:00 AM.

Early check-in and late check-out are subject to availability and may incur additional charges.

Only the number of guests stated on the confirmed reservation may occupy the accommodation unless prior approval has been obtained.

Guests are responsible for any damage, loss, breakage, or excessive cleaning costs caused during their stay.

Guests must respect accommodation rules, staff, other guests, local laws, and the surrounding environment.

Safari and Tour Services

Guests are required to follow the departure times and meeting arrangements provided by Tropical Odyssey.

Guests must follow all safety instructions given by guides, drivers, park authorities, and other authorized personnel.

Wildlife sightings cannot be guaranteed, as animals move freely in their natural environment. Safari routes and activities may be adjusted due to weather, wildlife movements, road conditions, park regulations, or safety considerations.

Booking Changes

Requests to change travel dates, accommodation, safari itineraries, guest details, activities, or transportation are subject to availability.

Additional supplier or operational charges resulting from requested changes may apply.

Travel Documents

Guests are responsible for ensuring they have valid passports, visas, travel insurance, vaccination certificates where required, and all other documents necessary for their journey.

Travel Insurance

Comprehensive travel insurance is strongly recommended and should ideally cover medical expenses, emergency evacuation, trip cancellation, baggage loss, travel delays, and other unforeseen circumstances.

Force Majeure

Tropical Odyssey shall not be liable for delays, cancellations, changes, or failure to provide services caused by circumstances beyond our reasonable control, including severe weather, floods, wildfires, natural disasters, government restrictions, war, civil unrest, terrorism, epidemics, pandemics, airline cancellations, park closures, road closures, strikes, utility failures, or other extraordinary circumstances.

Where possible, Tropical Odyssey will assist guests with alternative arrangements.

Governing Law

These Terms and Conditions shall be governed by the applicable laws of the United Republic of Tanzania.
